Roberto - WhatsApp AI Assistant

For Elecsol Electrical in Australia, I built Roberto, a WhatsApp AI assistant that runs the business by chat and voice note. It creates and closes jobs in ServiceM8, files every voice note as a PDF to Google Drive, and sends morning and evening briefings. Built on n8n, Supabase, Claude and AssemblyAI.

The Challenge

Running an electrical contracting business meant juggling jobs, staff check-ins, voice notes, and daily updates across ServiceM8 and a stack of apps. James needed one place to run it all, without learning new software.

Results

  • One WhatsApp assistant replaced a stack of separate apps.
  • Jobs, tasks, and staff notes are managed by voice or text, hands-free in the field.
  • Every voice note is transcribed, documented, and filed automatically.
  • Daily briefings keep the whole operation visible without opening a dashboard.

The Solution

  1. 1

Roberto is a WhatsApp AI agent, so James runs the business by text or voice note without opening ServiceM8 or anything else.

  2. 2

A custom tool layer connects him to ServiceM8 to create, assign, update, and close jobs on command.

  3. 3

Long-term memory lives in a Supabase vector database, so he recalls any past conversation, task, staff 1-on-1, or toolbox item on request.

  4. 4

Voice notes are transcribed, turned into formatted PDFs, and filed to Google Drive automatically.

  5. 5

He sends morning and evening briefings, and logs group chats silently, replying only when mentioned.
